How to Write a Complaint Letter That Actually Gets a Response

When people are upset they often write complaint letters. They use all capital letters a lot of exclamation marks. Say mean things. Writing like this might feel good. The company you are writing to will probably throw your letter away.

If you want something from the company, like your money or something fixed, you need to be firm in a smart way.

1. Use facts of how you feel

Companies pay attention to facts. So do not say “your service was bad“. Say “the person who was supposed to fix things came two hours late and did not do what they said they would do, as it says on invoice number 12345“.

2. Say what you want to happen

Do not make the company guess what you want. At the end of your letter, tell them exactly what would make you happy.

  • I want the company to give me all my money back, which is 50 dollars.
  • I want the company to send me a one to my house by Friday.

3. Keep a record of what you say

Always send your complaint in an email or on a form that can be tracked. This way if you need to talk to someone important later, you can prove that you sent a letter and when you sent it.
